We’re excited to announce the release of CloudM Automate 2.16, providing you with greater visibility into your onboarding and offboarding processes within Google Workspace. This release also enhances Automate’s ability to handle several critical workflow steps, giving you a better user experience and saving you time. 

Introducing the new Automate dashboard

New to CloudM Automate 2.16, gain instant insights into the status of your automation workflows with our redesigned Automate dashboard. This intuitive interface provides a comprehensive overview at a glance, allowing you to quickly identify and address any potential issues.

Key features of the new dashboard include:

  • At a glance status: Easily monitor the progress and health of your workflows.
  • Actionable data points: Directly address the issues like failed offboardings from the dashboard view.
  • Data export: Export your dashboard data to PDF for easy reporting and sharing.
  • Interactive tooltips: Access contextual information and guidance through informative tooltips.

This new dashboard represents a significant step towards providing you with a more efficient and user-friendly automation management experience.

Looking for information about your domain? Don’t worry, the domain insights dashboard still exists to give you a view of the overall health of your domain, complete with tips on how to improve it.

Enhanced reliability for document ownership transfers

We’ve made significant improvements to the “Transfer Ownership of Documents” step, enhancing its reliability and performance. This workflow step enables you to move ownership of a document from one user to another and is especially useful when it comes to managing leavers in your organization. CloudM Automate now leverages Google’s Data Transfer API for this critical task.

Key changes include:

Google Data Transfer API

We've transitioned to Google's Data Transfer API for improved stability and performance. All newly started offboarding workflows will utilize this method.

Simplified folder structure

Transferred documents will now be placed into a folder named after the user’s primary email address on the target user's drive.

Drive transfer reporting

We will now show the number of drives transferred instead of individual item counts.

These changes ensure a more robust and dependable document transfer process, minimizing disruptions and ensuring a smooth offboarding experience.

Streamlined resource allocation prompts

CloudM Automate 2.16 introduces a new automated skip feature

We’ve enhanced the “Prompt for Resource Allocation” step to prevent offboarding processes from stalling. A new setting has been introduced to automatically skip the step if no action is taken within a specified timeframe.

Automated skip feature

Configure the step to automatically skip if no action is taken within a defined number of days, preventing offboardings from getting stuck.

This improvement provides greater flexibility and control over the resource allocation process, ensuring timely completion of offboarding workflows.
